OVERVIEW
The VRS can be customized to fit your needs and system configura-
tion by changing default values. Go forward (or back) until you
find the defaults you want to change and then press the C key.
COLOR
Enter a Y if you have a color system or a N if you do not.
NOTE: Some monitors and display adapter combinations, for example,
composite monitors or monochrome monitors attached to a color
adapter may not work well with this system. If you have prob-
lems in contrast, missing cursors, etc. try running the DOS
MODE command to set your display. If you are using a mono-
chrome display and it is hard to read, you could set the
color to Y and experiment with some of the color options.
PRINT TO:
The reports will automatically print to the screen if this value is
S, the printer if it is P, or a file if it is F. You can change
this value temporarily from the report menus when running reports.
COMPANY NAME
Whatever you enter here will show on the reports.
DRIVE
The letter (A-Z) of the hard disk drive on which the VRS program
files and your vehicle data files will be stored.
PROGRAM DIRECTORY
The hard disk directory where the VRS program and system files are
stored. This should normally be VRS90 but can be changed if neces-
sary. If you do change this, then be sure the programs are loaded
into the correct directory.
CENTURY ON
Enter a N to input and display dates with a 2-digit year (91 in-
stead of 1991). Enter a Y to display dates with a 4-digit year. You
can switch back and forth if desired but you will need to set this
ON in the year 2000.
DATE FORMAT
You can select 1 of 5 different date formats (2 are the same).
NUMERIC FORMAT
You can choose between 2 different numeric formats. The European
format reverses the commas and period (99.999,99).
HEADINGS AND OTHER SETTINGS
If you do not like some of the headings as they appear in some of
the programs, you can change some of them. You may need to ab-
breviate some headings and you may need to enter some leading
spaces to center the headings.
NOTE: If you are tracking a vehicle by hours instead of odometer,
the reports for that vehicle will automatically say HOURS
instead of ODOMETER, CPH instead of CPM or CPK, etc.
All headings that can be changed are initially set to lowercase so
that you can easily see which ones can be changed. Since you are
able to change headings, you can customize most logs to suit your
needs, for example, you could change the Maint Log VENDOR to PART
NUMBER to have a separate area for part numbers. Vendors could be
put into the DESCRIPTION area.
PRINT COMMENTS & DOUBLE-SPACE
Comments in the Fuel, Maint/Access/Misc and Travel Logs will print
on the line below the other information. If you do not want to use
the comments area or do not always want to print comments, then en-
ter N, otherwise enter Y.
NOTE: The Vendor field for the Maint/Access/Misc Log also prints on
the second line.
Enter a Y to print a blank line between log entries. This will make
the reports somewhat easier to read. Enter N if you do not want the
blank line.
NOTE: The Maint/Access/Misc Log and Travel Log reports will skip a
line between different dates.
You can change these values temporarily from the report menus when
running reports.
METRIC
If you are on a metric system you can change MILES to KLMTR (or
another abbreviation), COST PER MILE to COST PER KILOMETER, CPM to
CPK, GALLON to LITERS (LITRES), MPG to KPL, and HPG to HPL.
TAXES
The Maint Log gives you the option of entering both the item cost
and the tax. These two amounts are then added together for a total
amount. If you do not want to separate the tax from the cost, then
enter a N. If you want to keep taxes separate, then enter a Y.
If you select N, then you will have more room for a description.
If you select Y, then part of the description will be hidden and
will not show on the screen or on reports.
NOTE: You can switch from N to Y if you decide to breakout taxes
sometime in the future or you can switch from Y to N if you
decide not to breakout taxes.
MAINTENANCE REMINDER FUEL LOG OPTION
Entering a Y will make the VRS run the maintenance reminder for the
selected vehicle whenever you load the Fuel Log. The last Fuel Log
entry is checked against all maintenance reminders and if a due or
overdue maintenance item is found, then a message will appear on
the top of the screen telling you to run the Maintenance Reminder.
Entering a N will disable the automatic reminder feature.
PAID, MAINTENANCE, TRAVEL, EXPENSE AND LOCATION CODES
You can categorize up to 15 types of payments, 15 types of
maintenance, 15 types of travel (purpose or people) and 15 types
of travel expenses. You can use the defaults or change them to
whatever you want. The codes will stay the same for each vehicle.
If you choose not to use codes then enter a SPACE (instead of A-O)
when making your entries.
The descriptions you choose to use will display on the screen when
you are about to enter that field. It is automatically done for you
and you do not have to remember the codes and descriptions. Report
totals are broken out by these codes to give you more detailed in-
formation.
The Travel Log also lets you track mileage or hours by location,
area or ?. A maximum of 64 two character codes can be used for this
purpose. The abbreviations for the U.S. states have initially been
entered as defaults, but you can enter your own codes for counties,
provinces, etc. If you do not want to use the location field, then
blank out all codes, otherwise blank totals will print on reports.
COLORS
If you do not like the choice of colors or if they do not display
well on your monitor, then you can change them. The colors on the
left are the defaults and the right columns are the new or changed
colors. You can experiment as much as you like and still easily
change them back.
Example: change the headings (white) to brown
change the function keys (bright white) to light cyan
change the help screen (brown) to red
NOTE: The heading colors are different from the record (text)
colors in many of the logs. However, there are some logs in
which the headings are the same color as the records, ie.
Fuel Log, Payment windows, etc.
While I would prefer to have all heading colors different
from the text, according to the technical support people at
Clipper, this is not possible with their Summer 87 version.
